Managing Projects
Projects are how agencies organize work across clients. Each project holds a client's brands, prompts, and prompt allocation in one place.
Brands vs agencies
Vosapio comes in two flavours, depending on who's using it:
- Brand accounts are for a single company keeping an eye on its own brand — one brand, with its own prompts, metrics, and sources.
- Agency accounts are for teams managing many clients at once. Each client lives in its own project, with its own brand, prompts, competitors, and prompt allocation, all managed from a single login.
The rest of this page is about the agency side: how projects keep each client's work separate and under control.
What a project is
A project is a container for a client's monitoring setup. Within a project you manage the brands you track, the prompts you run, and the competitors you compare against — keeping each client's data cleanly separated while you manage them all from one account.
What you can do
Inside every project, Vosapio gives you the same core tools:
- Choose your models. Run each prompt across the AI models that matter — ChatGPT, Gemini, Perplexity, Google AI Overview, Google AI Mode, and Microsoft Copilot. Each project tracks up to four of them; a fifth and sixth model are available with the add-on (see below).
- Run your own prompts. Track the exact questions your clients care about, not just a fixed list. See Setting up your prompts.
- Export your data. Download any table from the app as CSV, Excel, or JSON — or pull the same data programmatically through Vosapio's API.
- Track your usage. The Projects page shows how many prompts each project tracks and how many prompts are left on your plan, so you can rebalance before you run out.
How prompts work
Your plan includes a number of tracked prompts. This number is shared across all your projects. Every active prompt in any project counts once, no matter how many models it runs on or how often it runs.

The models and the frequency you choose for a project do not use up your allowance. Only the number of active prompts does.
When all your plan's prompts are in use, you cannot add or activate more prompts until you archive some or upgrade your plan.
Prompts by AI model
Under the prompt card, the Prompts by AI model table shows what each AI model did for you. It follows the filters at the top of the page:
- Date: the period the table covers, for example the last 30 days or all time.
- Brand: All brands adds up all your client projects (pitch projects are not counted). Pick one project to see only its numbers. On the other pages, All brands keeps its usual meaning.
- Model: show all models or only one.
One run is one prompt sent to one model on one day. The columns:
- Active prompts: the active prompts sent to the model in each run, added up over the projects.
- Projects: how many projects track the model, out of all your client projects. With one project selected you see, for example, 1/2; with All brands, 2/2 when both track it. A model that no project tracks shows as Not tracked.
- Answers collected: the AI answers the model sent back in the period.
- Collection rate: the share of runs that brought back an answer. For Google AI Overview, a lower rate often means Google showed no AI Overview for some of your questions.
- Last answer: when the model last sent an answer, so you can see that tracking runs.
The collection rate covers at most the last 90 days of the period. The answers cover the whole period.
With All brands, the projects you deleted show as one Archived projects row, so the history of the period stays complete.
The API integration tab lists the models that Vosapio will track through the provider's API. They show as Coming soon until they are available.
AI models per project
Every project can track up to 4 AI models at no extra cost, and you can change which 4 at any time. To track a 5th or 6th model, add the Extra model add-on on the Billing page. One add-on raises the limit for every project in your account.
Under the prompt card, a short line shows the rest of your plan: your projects used out of your plan's projects and your pitch projects. The Add a model (add-on) link opens the add-on on the Billing page, where you see its price.
Staying within your plan
You can allocate prompts across projects to match each client's needs. If you need more prompts, upgrade to a larger plan. Keeping an eye on each project's prompt count lets you balance coverage across your whole client base.
